The Challenge

How do you create a full suite of products ready to transform workspaces into smart offices?

To create a consistent, modular family of apps that can facilitate the running of large scale offices; from room booking all the way to facility management.

Workshops

For this project I facilitated workshops for each product kick off and with the collaborative effort of the product owners, marketing, and technical team we created initial prioritisation roadmaps, proto-personas and basic customer journey maps.


I’m a big fan of a workshop as i’ve always been impressed how this format can get so much actionable insight and ideas out of team members in such a short amount of time.

I then took this workshop output and created a more detailed version of the customer flows which influenced our information architecture and wireframes in the next stage.

User Testing

User testing sessions were held regularly to ensure we were understanding the needs of the user and how the product would fit into their dailyroutine. The insight gained from the user testing also influenced and fleshed out our personas. 

A working example

One of the trickiest flows to get right was the map kiosk. When testing the desk booking flow we observed users not understanding certain visual cues and generally feeling overwhelmed by the amount of information presented at once. This led us to de-prioritise the actual map in place of the simpler task based buttons, which saw the time taken to book a desk significantly drop.

All shapes and sizes

With hardware ranging from phone apps to 80 inch screens, each product posed its own challenges and it was important for us to consider the context in which each application was working in the physical space.

Employee mobile app

  • Personalisation allows the app to adapt to the habits and routines of the user
  • Ability to book favourite spaces within 3 taps
  • Access meeting room controls directly from your phone
  • Ability to scan and book spaces to reduce physical contact

Room app

  • Clear signalling of remaining meeting time to reduce over utilisation
  • Ability to extend meeting with one tap
  • Move seamlessly between mobile and room app with QR scanner

Office management app

  • Overview of building performance, specifically highlighting best, worst and average to help user understand where to focus attention
  • Ability to start at a wide multi-building level and drill all the way down into a specific space.
  • Advanced filtering and comparison functionality to help user better analyse data

Designing consistency

Although it’s not the fanciest part of the job, creating a rock-solid design system was at the core of this project’s success. Our near militant adherence to the design system paid dividends later on as we could design faster, the development team could build quicker and most importantly the sense of familiarity between each touchpoint made it easy for users to move between the apps.
